WooCommerce Invoice Request Email Template: Receipts, VAT and Corrections

An invoice request may mean a resend, a new document or a correction. Check the WooCommerce order, then use the reply that matches the customer’s request.

When a WooCommerce customer writes, “Please send an invoice,” do not start by attaching the order email. They may want another copy of a receipt, a VAT invoice for their accounts team, or a correction to billing details. Each request calls for a different check and a different reply. Use the templates below only after you have identified the document and confirmed who should receive it.

First, identify which document the customer needs

Route the request by what the customer needs you to do, not by their use of the word “invoice.” This article covers that document decision; for replies to other store enquiries, see our customer service templates for EU online stores.

Customer wordingWhat they may needNext action
“Can you resend my receipt?”A copy of an existing receipt or order confirmationVerify the requester, locate the document and resend it under its actual name.
“Our accounts team needs a VAT invoice.”An existing VAT invoice or a request for one to be issuedCheck your invoicing records. Resend an approved existing invoice, or ask the invoicing owner to review the request.
“The company name on my invoice is wrong.”A change to an already-issued documentConfirm the requested details and refer the case to the invoicing owner. Do not treat an order edit as an invoice correction.
“Use our company address next time.”A change for future ordersExplain how to update saved billing details. Ask separately whether they also mean a document for this order.

If the message is unclear, ask: “Do you need another copy of a document you already received, a VAT invoice for this order, or a change to details on a document already issued?” Do not attach anything while you wait for the answer.

Check the WooCommerce order before you reply

Open the order in your WooCommerce admin, then check the system or extension your store actually uses for invoicing. An order screen can show what was entered and what tax appears on the order; it does not establish that a VAT invoice has been issued or that its treatment is correct. Use this checklist before choosing a send-ready template.

For example, if a customer writes from a different email saying “send my invoice to our accountant,” do not add that address to the order and forward the attachment. Verify the requester through your established channel, confirm whether an invoice exists, then use your approved delivery procedure. Never request full payment-card details as a verification shortcut.

Email template: send an existing order receipt

Use this only if you found an existing receipt or order confirmation and verified the recipient. Name the document you actually found. If the customer needs a VAT invoice instead, the follow-up question moves the case to the next route without misrepresenting the receipt.

If the customer responds, “I need a VAT invoice, not the receipt,” reopen the document check. Renaming the file or describing the order confirmation as an invoice does not resolve that request.

Email template: respond to a VAT invoice request

Search your approved invoicing records first. If you cannot find an approved VAT invoice, acknowledge the request without promising one. Ask only for a specific missing detail your established process requires; remove the question entirely if the information is already available.

If an approved invoice already exists, use the narrower reply below after checking that its reference, file and recipient match the order. A request for a new billed entity or different tax treatment is not a simple resend, even if an invoice is on file.

Pause and escalate if the request asks you to add a VAT number, remove tax, change the billed business or reconsider a cross-border sale. The appropriate document and treatment depend on the transaction and jurisdiction. Support can gather the customer’s exact request, but the person responsible for invoicing must decide what to issue.

Email template: handle corrected billing details

First determine whether this is a change to saved details for future purchases or a change affecting an existing document. An account update may affect later orders; it does not amend an invoice already issued. Likewise, editing a WooCommerce billing field must not silently replace your invoice-correction process.

If they only want to change a saved address for future orders, do not send the correction template. Instead, reply: “To use [new billing detail] on future orders, please update the billing details in your account [insert your store’s actual instructions]. This does not change documents for previous orders. If you also need us to review order [reference], please tell us which document and detail you mean.”

For an issued document, hand over the order reference, existing document reference, detail currently shown, exact requested change and customer-confirmed wording. Include where the issued document can be found, rather than circulating attachments or sensitive billing details more widely than necessary.

Set a safe handoff rule for invoice requests

Give support a decision rule they can apply without deciding tax treatment: resend an existing document only after verifying the requester, intended recipient and exact document under your store’s process. Route document creation, changes to tax treatment and changes affecting an already-issued invoice to the authorised invoicing owner. Keep the case pending while they review it; do not tell the customer a replacement is being prepared unless that has been approved.

A useful internal note is: “Order [reference]; requester verified via [method]; customer needs [document or exact change]; issued document [type and reference / none found]; order shows [relevant payment, status, billing and tax information]; requested destination [verified channel]; invoicing owner to decide [specific question].” That gives the owner a clear decision to make without treating support’s notes as a tax determination.

If you use askVela’s WooCommerce integration, order and customer context can appear beside the conversation; check the approved invoicing record separately. Use the team inbox for invoice-request handoffs to assign the case and leave internal notes. Keep approved reply wording and process guidance in your knowledge base for approved support replies, while the responsible person retains the document and tax decision.
