Shopify Address Change Request Response Templates by Fulfilment Stage

An edited Shopify order is not proof of a changed shipment. Use these replies to verify the request, check the label or carrier, and report only what is confirmed.

When a Shopify customer asks to change a delivery address, first find out which address will actually be used to ship the parcel. The address on the order, the address on a shipping label and the destination held by a carrier can differ. These replies help you distinguish a change you have completed from one you have merely requested.

Check the fulfilment stage before you reply

Open the Shopify order and check its fulfilment details. Then check the place where labels are created and parcels are dispatched, whether that is your own shipping workflow or a fulfilment partner. An order shown as unfulfilled does not establish that no label exists. For other order enquiries, see the customer service templates for EU online stores.

If the records disagree, keep the case open. Do not use a corrected Shopify address as evidence that an old label was replaced or a parcel was rerouted.

Verify the requester and capture the replacement address

An address change can send goods to someone other than the buyer. An order number helps you locate an order; it does not, by itself, establish that the requester is authorised. Use your store’s established verification route, particularly if the message comes from a contact channel you do not recognise. Ask only for information needed to verify and process this request; do not routinely request identity documents.

If details are missing, ask a narrow question: “Please send the full delivery address, including any unit, postcode, city and country. Once we have it, we’ll check whether the order can still be changed.”

Reply template: the order has not been fulfilled

Use the acknowledgement while you check whether the change is still possible. Before sending a confirmation, verify the requester, update the order through your normal process and check any separate picking queue, exported instructions or fulfilment-partner record. If another team prepares the parcel, obtain confirmation that it will use the new address. “Unfulfilled” in Shopify alone is not enough.

Send the fallback, not the confirmation, if you cannot establish which address the parcel handler will use. Move to the label or carrier workflow as appropriate.

Reply template: a shipping label already exists

A label is separate from the address displayed on the Shopify order. Even if you can edit the order, the existing label may still show the original destination. Work through the label and the physical parcel together:

  1. Inspect the label: Compare its recipient and destination with the requested address. Check whether it has been printed, applied or passed to a fulfilment partner.
  2. Check the available action: Find out whether your shipping workflow permits this label to be voided or replaced before handover. If a partner controls labels, ask that partner rather than assuming an order edit changes its instructions.
  3. Verify the parcel: If a replacement label is made, check its address and confirm that the parcel handler will use it instead of the old label. If handover has occurred, use the carrier-stage workflow.
  4. Log the outcome: Record whether replacement is confirmed, declined or still pending. Do not describe a request to replace a label as a completed change.

Reply template: the parcel is with the carrier

After handover, editing Shopify cannot confirm a change to the parcel’s destination. Check the options offered for this particular shipment through your carrier or fulfilment partner. Some requests must be made by the recipient using the carrier’s own delivery-management process; availability is not guaranteed.

When you receive an answer, report the exact outcome. For a confirmed redirect, state the address the carrier accepted and the source of confirmation. If declined, say so and share only delivery or return options you have verified. If there is no answer yet, keep the request pending.

Record the outcome and close the loop

Leave a note another agent can act on without rereading the conversation. Preserve the original address separately from the requested one, and record who confirmed any change to a label or shipment. For a pending request, assign an owner and a time to check again; “waiting on carrier” is not a complete handoff.

In askVela, Shopify live chat and order lookup can provide available order information beside the conversation; it does not edit an address or reroute a parcel. The team inbox and internal notes can hold the handoff and pending follow-up. Close the case after you have communicated the verified outcome, not merely after editing a field or sending a request.
